TrialKit offers a very unique feature that is designed to save time and strengthen testing. Changing roles without leaving the system allows you to switch from your main role, to any lesser role. All roles are created with a Role Hierarchy property (described here). That property determine your place in the user hierarchy within a study. When you have been given the right to change roles (or given yourself the right), you can assume any role that equal to or lower than your role hierarchy.TrialKit offers mean collaborative features including data review, data entry, adjudication, risk-based Monitoring and many others. In order to setup and test these collaborative features, you have to configure roles that grant rights for your users to participate. Rather than signing in and signing out each time you want to test a role, you can simply select the role you need on the main menu of the app and you will be given the exact same study rights as that role. When you want to go back to designing the study or your original role, you can easily flip back to it.
This document will explain exactly how to set up your study for dynamic role changing so that you can make very productive use of your time and test out your design to be sure it is working as intended.
Setting Up the Ability to Change Roles
To set up a role or your own role for dynamic role changing you have to follow a few very easy steps. The first step is to setup the target role to dynamically change roles. Of course you will have to have the right to access Role Security at the study level. If you do not have that right, you may want to ask the administrator for that right to set up your role for Dynamic Role Changing.To access Role Security at the study level tap Study Configuration from the main screen, then select Study Role Based Security.
Please note, if the target role happens to be your own role, your role must have the right to Grant rights to my role that have not been granted. That right exists in the Role Security app. Basically, if you do not have a certain right or access to a certain app, this right allows you to grant yourself access to that right or app. Select the role that you wish to grant dynamic role changing. In our example we will work on the Administrator role. Once selected you will navigate to the Edit Existing Role page. This page is where you can grant the role the ability to change dynamically to a lesser role.
By setting the switch Allow this role to change to a lesser role, you will enable the role to dynamically change to any role that has an equal or lower role hierarchy. This completes the first step in changing roles on the fly.
Changing Your Study Role On the Fly
Now that you have setup the role or your role to change dynamically, it is very simple to change the role. Go to the main screen or first screen. You will now have a role drop down box located toward the upper middle of the screen. If you do not, you should refresh the system by tapping the Refresh button.Tap the down button to drop down the list. You will see all the roles that you can assume. Selecting the role now gives you that role’s study rights. VERY IMPORTANT: When you change your TrialKit role, it also changes your Clinical Studio role. However, you need to come to TrialKit to restore your original role. You may sign into Clinical Studio and not see the menu options you expect. That is because your role has been changed. As of this writing, you must return to TrialKit to restore your original role that cannot be done in Clinical Studio.Don’t forget, it is just as easy to change back to your main role. Follow the same steps by tapping the down button and this time select your main role.This should save you time and allow you to really improve your testing.
